vybesync is an operations tool for live music, performance, and theatre teams. We collect the information needed to run that work. We do not sell personal data, serve ads, or track people across apps and websites.
Scope
This policy covers the vybesync mobile app, vybesync.io, manage.vybesync.io, count.vybesync.io, and the shared services that support them. It applies to staff accounts, demo access, operational records, and the marketing waitlist.
What we collect
Account and organization information
Name, email address, user ID, role, department, organization, assigned post, employment relationship, and access permissions. This information may come from you, an authorized organization manager, an invitation, or Apple or Google sign-in.
Operational content
Show and shift information, counts, checklists, readiness and sign-off records, radio assignments, incident reports, debrief notes, and related free-text content. Venue-area labels describe places inside a venue; vybesync does not collect device GPS location.
Photos
When your organization enables incident media and you choose to attach a photo, we receive the image and basic file details. The app disables EXIF collection for camera and library selections, so embedded location and camera metadata are not intentionally uploaded.
Device and technical information
Push notification tokens, device platform, notification preferences, authentication session information, and ordinary network delivery information processed by our hosting providers. We do not currently use an advertising or analytics SDK.
Marketing waitlist
If you join the waitlist on vybesync.io, we collect the email address you submit. The waitlist is separate from an app account unless you later use the same address for an account.
How we use information
- Authenticate users and apply organization, role, and area permissions.
- Run pre-shift, live, post-shift, crowd-counting, and management workflows.
- Deliver invitations, sign-in links, service messages, and push notifications.
- Protect accounts, investigate failures, and preserve operational integrity.
- Respond to support, privacy, deletion, and waitlist-removal requests.
- Notify waitlist members about product availability.
Retention and deletion
Incident photos are scheduled for deletion after 30 days. Their metadata may remain in a soft-deleted state to preserve operational integrity. Operational and audit records may be retained for an organization's safety, staffing, and compliance needs; identity references are removed or nulled where the account-deletion flow supports that.
Real, non-demo users can delete their account from Settings in the mobile app. The flow removes the authentication account, profile, notification tokens, grants, personal submissions, and incident-media objects authored by that user. Shared demo personas and platform-administrator accounts require a support request so they are not accidentally removed.
Waitlist emails remain until you ask us to remove them. We retain support correspondence as needed to resolve the request and document the response.
Your choices
- Use the in-app notification settings to control push notifications.
- Choose whether to attach an incident photo.
- Delete an eligible account from the mobile app's Settings screen.
- Request account deletion, correction, access, or waitlist removal through Support.
Children
vybesync is a workplace operations service and is not directed to children under 13. We do not knowingly collect personal data from children under 13.
Changes to this policy
We will update this page when our data practices materially change and revise the effective date above. Store disclosures are updated when the submitted app's behavior changes.
