At vybesync, we provide operations software for live music, performance, and theatre teams. This Privacy Policy details how we collect, use, and handle your information when you use our mobile application, vybesync.io, manager.vybesync.io, count.vybesync.io, and our shared services.
We do not sell personal data, serve advertisements, or track you across other applications and websites.
Scope
This policy applies to staff accounts, demo access, operational records, and website product-interest submissions.
Information We Collect
We collect information needed to operate our services, manage venue operations, and respond to inquiries.
Account and Organization Information
Name, email address, user ID, role, department, organization, assigned post, employment relationship, and access permissions. This data is provided by you, your authorized organization manager, or via secure third-party sign-ins.
Operational Content
Show and shift information, counts, checklists, readiness and sign-off records, radio assignments, incident reports, debrief notes, and related text content. Venue-area labels describe locations within a venue; we do not collect device GPS location data.
Device and Technical Information
Push notification tokens, device platform, notification preferences, authentication session data, and standard network delivery information. We do not use advertising or analytics SDKs.
Website Product Interest
Names, email addresses, product interests, and optional comments submitted via our website forms.
Incident Media (Photos)
Authorized venue staff may document safety, security, or service incidents with photos. We disable EXIF data collection to prevent the intentional upload of embedded location and camera metadata.
Venue-Facing Guest Notice
Venue staff may document safety or service incidents, which may include photographs. These records are handled securely, retained strictly under the respective venue's incident-record policy, and are never used for advertising, facial recognition, or training unrelated AI or systems.
How We Use Information
We use your information exclusively to deliver, secure, and maintain the vybesync platform:
- Authenticate users and enforce organizational, role, and area permissions.
- Run pre-shift, live, post-shift, crowd-counting, and management workflows.
- Deliver secure invitations, sign-in links, service messages, and push notifications.
- Protect accounts, troubleshoot technical failures, and preserve system integrity.
- Provide customer support and process privacy or data deletion requests.
- Respond to inquiries regarding beta access, discovery conversations, or product availability.
Retention and Deletion
Incident Photos
Scheduled for automatic deletion after 30 days unless required for an active legal claim or investigation.
Operational and Audit Records
Retained according to the host organization's safety, staffing, and compliance requirements. Identity references are nulled or removed during the account deletion process.
User Accounts
Active users can permanently delete their accounts via the mobile app's Settings.
Marketing Records
Retained until you request removal.
Administrative Accounts
Shared demo personas and platform-administrator accounts require a manual support request for deletion.
Note: A legacy pre-cutover waitlist remains operationally separate, is not linked to our current CRM, and does not receive new submissions.
Your Choices and Rights
- Manage push notifications via in-app settings.
- Opt-in or opt-out of attaching photos to incident reports.
- Delete eligible personal accounts directly from the mobile app.
- Contact Support to request account deletion, data correction, data access, or marketing-contact removal.
Children's Privacy
vybesync is a workplace operations service and is not directed to children under 13. We do not knowingly collect personal data from children under 13.
Changes to This Policy
We will update this page when our data practices materially change and will revise the “Effective Date.” App store privacy disclosures are updated concurrently with relevant changes to the application's behavior.
